Getting Started

Everything you need to manage the shop, orders, products and events on your own — without needing to call anyone.

Admin access

The admin panel is accessible only to you. No sign-up, no account: just a password.

Go to the admin address

Open your browser and go to:

Save this URL in your bookmarks — you'll use it often.

Enter the password

Enter the password provided by Pianeta.Studio. Access lasts for the entire browser session — you don't need to re-enter it every time you change page.

You're in

You'll see the dashboard with the main KPIs. The top bar takes you to Orders, Products and Events. From any admin page you can return to the dashboard by clicking "Apothéke Admin" in the top left.

Browser session — If you fully close the browser or use an incognito window, you'll need to re-enter the password. In normal use (tab open) you stay logged in.

Dashboard

The dashboard is your starting point every morning. It shows you the situation in real time.

Revenue

Four numbers: today, this week, this month, total. They're calculated on paid orders — not on pending or cancelled ones.

Orders to handle

Counts orders in "Paid" and "Preparing" status. If it's > 0, there's work to do. Click "View orders" to go directly to the list.

CO₂ saved

Total grams of CO₂ saved across all orders. A marketing data point: you can use it on social media or share it with customers.

Low stock

Products with ≤ 5 units left, sorted from least available. Update stock before it runs out and customers find the product unavailable.

Data updates in real time. Reload the page for the freshest numbers.

Order management

Every paid order appears here automatically. Your daily workflow is simple: take charge → prepare → deliver.

Order statuses

Paid

The order has been paid but not yet taken in charge. Check the products and start preparing it.

Preparing

You're preparing the order. The customer knows it's in progress.

Ready

The order is ready. If it's a pickup, the customer can come by. If it's delivery, the courier is on the way.

Delivered

Order completed. It disappears from the active list.

Cancelled

Order cancelled. The refund must be handled manually on Stripe if payment had already been made.

How to handle an order, step by step

Find new orders

Go to Admin → Orders. Filter by "Paid" — these are the ones to handle right away. Each row shows: order number, customer, total, requested delivery slot.

Open the details

Click on the order. You'll see the list of products with quantities, the delivery address or pickup method, and any notes left by the customer.

Update the status

Use the dropdown menu at the top right of the order detail. Switch to "Preparing" when you start working on it, "Ready" when it's complete, "Delivered" when it's been sent or picked up.

Export for accounting

At the top of the orders list there's the "Export CSV" button. Download all orders into an Excel file — useful for monthly accounting or to share with your accountant.

Refunds — If a customer asks for a refund, you need to handle it manually on stripe.com. The admin panel doesn't have a direct refund button.

Product management

You can edit stock, prices and visibility on your own. To add new products or change photos, write to Pianeta.Studio.

Update stock

Go to Admin → Products. Find the product in the list — you can search by name. Click on the stock number and edit it directly. Save with the button next to it.

Deactivate a product

If a product is unavailable for a period, deactivate it instead of setting stock to 0. The difference: stock 0 shows "Out of stock" in the shop, a deactivated product disappears entirely. Use the toggle in the "Active" column.

Feature a product

"Featured" products appear first on the shop homepage. You can toggle them on/off from the list with the "Featured" switch. Tip: no more than 4-6 featured products at a time.

Edit price or description

Click on the product name to open the full card. Here you can change price, description, producer and all detail fields. Save at the bottom of the page.

Gift Baskets — The "Baskets" category is available in the shop. To upload a basket: it's a normal product with a photo, price and description of the contents. Write to us and we'll set it up together the first time.

Event management

Create tastings, dinners in the trullo, workshops. You can create free or paid events, with limited spots and an automatic waitlist.

Create a new event

Go to New event

Admin → Events → New event. Fill in the required fields: title, date, time, location.

Set price and spots

Price: enter 0 for free events, or the amount in euros (e.g. 45). The system automatically converts it to cents for Stripe.
Max spots: the number of participants. Anyone who registers beyond this limit automatically joins the waitlist.

Save as draft, then publish

Save as Draft to work on it calmly — it's not visible to the public. When you're ready, change the status to Published: it appears immediately on the events page and the shop homepage.

Manage registrations

See who has registered

Click on the event in the admin list. You'll see the KPIs at the top: confirmed spots, remaining spots, waitlisted registrants. Below, the table with name, email, number of spots and registration date.

Promote from the waitlist

If a registrant cancels or you increase the spots, you can manually promote someone from the waitlist. Click "Promote" next to the name — they automatically receive the confirmation email.

Close or cancel an event

Cancelled: disappears from the public list, stays in the history. If there are confirmed registrants, contact them manually before cancelling — the system doesn't automatically send cancellation emails.
Past: set this status after the event has taken place.

Refunds for paid events — As with orders, refunds are handled manually on stripe.com. The panel doesn't have a direct refund button.

Frequently asked questions

I forgot the admin password. What do I do?

Contact Pianeta.Studio. The password is configured at server level and cannot be reset from the interface.

A customer is asking for a refund. How do I handle it?

Refunds are handled from the Stripe dashboard (stripe.com → Payments). Search for the payment by email or amount, then click "Refund". The refund arrives within 5-10 business days.

Can I add new products from the admin panel?

Currently, creating new products requires access to the Supabase database. To add products, write to Pianeta.Studio. You can edit stock, prices and visibility of existing ones on your own.

An event is sold out but I want to add spots.

Go to Admin → Events → click on the event → edit "Max spots" with a higher number. The new spots become available immediately. You can also promote registrants from the waitlist one at a time.

I created an event by mistake. Can I delete it?

There's no "delete" button — it's a safeguard. Set the status to "Cancelled": it disappears from the public list but stays in the history. If there are registrants, contact them manually before cancelling.

How does the CO₂ badge on products work?

It's calculated automatically based on the product's weight and the grams of CO₂ saved per kg (configured for each product). It appears on the product card and in the order summary. The cumulative total is visible in the dashboard.

Can I change the price of an event that already has paying registrants?

No — the system blocks it automatically if there are confirmed or pending registrations. This safeguard avoids inconsistencies. If you really need to change the price, contact Pianeta.Studio.

How can I see the confirmation emails customers receive?

Log in to resend.com with the credentials provided by Pianeta.Studio. In the "Emails" section you'll find all sent emails with preview and delivery status.
